Incomplete Questionnaire Reminders

Automated reminders can be sent to any candidates who haven't yet completed the questionnaire.

  1. Select Settings from the navigation bar. This opens the System Settings screen.

  1. Click Notifications and then Edit.

  1. From here you can turn the "Incomplete Reminders to Candidates" option on or off by toggling the switch button. Customise the reminders using the toggles to set:
    • how often these reminders are sent;
    • how many reminders you would like to send;
    • whether or not you would like the system to archive the candidate record after the final reminder has been sent; and
    • if you would like to receive a notification once the final reminder is sent.

  1. Click Save after any changes have been made.

Customise Email Template

You can customise the reminder email that gets sent to candidates to suit your organisation's needs.

  1. From the System Settings screen, click on Email Templates. Using the drop-down menu at the top right of the screen, select either Digital Profiler Reminder or Course Ready Reminder, depending on which you need to customise.

  1. Edit the body of the email template, including inserting variables to your email.

Variables are a way to add dynamic content to your emails. These are placeholders that will populate with specific information when the email is sent to a candidate. 

You can insert a variable using the Insert Variable button towards the top of the page. To remove a variable use the Backspace button on your keyboard.

You have the following variable options:

  • Admin Email. This inserts the Admin Contact Email that is set in your Organisational Settings page.
  • Candidate Correspondence Name. This inserts the System Contact Name that is set in your Organisational Settings page.
  • Candidate Correspondence Phone. This inserts the System Contact Phone that is set in your Organisational Settings page.
  • Candidate Correspondence Email. This inserts the System Contact Email that is set in your Organisational Settings page.
  • Candidate First Name. This will insert the candidate's first name.
  • Candidate Last Name. This will insert the candidate's last name.
  • Company Name. This inserts the Company Name that is set in your Organisational Settings page.
  • Email. This inserts the email address of the user. Please note: This variable won't be relevant for Reminder emails.
  • Login URL. This inserts the URL to your admin portal. Please note: This variable won't be relevant for Reminder emails.
  • Password. This inserts the temporary password of the user. Please note: This variable won't be relevant for Reminder emails.
  • Questionnaire Link (Clickable). This will insert the text 'Link to Questionnaire' into the email. The 'Link to Questionnaire' text will link to the candidate's custom invitation link. Please note: This is not available in the Subject Line.
  • Questionnaire Link (Plain Text). This will insert the plain text version of the candidate's custom invitation link into the email, this allows them to copy and paste it into their browser if they need to. 
  • User First Name. This inserts the first name of the user. Please note: This variable won't be relevant for Reminder emails.
  1. You can preview the email by clicking the Preview button. This will show the design that will be sent to your candidates. It will also populate any variables you have in your template with example data.

  1. Close the preview using the X button at the top-right of the pop-up window.

  1. Click the Save button (bottom-right of screen) to save any changes you have made to the email.
  2. Click Reset to Default to reset the email content to the default template. This allows you to start over if you make any changes that you're not happy with.
