Invite Multiple Candidates

  1. Navigate to the Invite tab in the main menu.
  2. Select the Multiple Candidates option.
  3. Download the pre-formatted spreadsheet using the Download button. The file name will follow the format of: Invite Multiple Candidates - YEAR-MM-DD time reference.

    For example: Invite Multiple Candidates - 2024-04-19T10_18_04.102Z

    The file will usually be saved in the Download folder of your computer.

    Note: you cannot use a different spreadsheet. The formatting associates the candidate information to the correct fields for issuing invitations.

  1. Open the spreadsheet and fill in the required information. There are four columns to be completed:
    • Candidate ID: Optional field
    • First Name: Mandatory field
    • Last Name: Mandatory field
    • Email: Mandatory field

Instructions are included on the Update Spreadsheet screen in the process, which opens automatically when the Download button is clicked.

NOTE: If using the Digital Robot for Study System there will be two sheets/tabs in the spreadsheet file. The first sheet is for the Digital Profiler Questionnaire, the second is for the Course Ready Questionnaire. If you require candidate's to complete both questionnaires, their details will need to be added to both sheets.

  1. Save and close the file.
  2. Use the Upload button to import the completed spreadsheet to the Digital Robot System.

  1. Once uploaded, Review the submitted information.

To view the candidate details uploaded, and make any changes if required, click the View Candidates button.

NOTE: If using the Digital Robot for Study System you can switch between the data entered for each questionnaire type using the drop-down list.

  1. If you want to assign a Course or Job Profile to a candidate for creating a Digital Skills Comparison Report once the questionnaire is completed (more information available here), you can do so via the Set Course/Job Profile option.


  1. Once you are ready click on 'Send Invite' and emails will be sent from the system.
