Instant Results Reporting Feature

The Digital Robot System includes the option to send results and/or reports directly to the candidate, either with just a summary of their digital skills levels (Work and Study systems), or with a comparison to an intended course profile (Study systems only).

This reporting is available for the following questionnaire type:

  • Digital Profiler

The activation of this function can be managed via a toggle function in the Questionnaire Settings menu item, accessed via the System Settings menu by Administrator level users.

  • Grey toggle: function is turned off.
  • Green toggle: function is turned on.


There will be differences in the function of this system, dependent upon whether it is being used for comparisons to Course Profiles or Jobs Profiles.

Course and Job Profiles - Private vs Public

In order to populate the Course or Job list used in this process, Course/Job Profiles must first be created in the Digital Robot System. For this process, please refer to the relevant help article:

Any profiles that are set as Private (checkbox is ticked) will not be populated in the Course/Job list accessible in the invite module or shown to the candidate when accessing the questionnaire.

Please note, candidates will see the name of the course as it is entered in the COURSE TITLE field in the course creation process, or as displayed as the COURSE NAME in the Courses list.

The ACCCESSIBILTY column shows which profiles are set as Public (displayed to candidates/included in candidate invite form) or Private (not displayed to candidates/not included in candidate invite form).

Used with Course Profiles

Note: This function is relevant to Digital Robot for Study Systems (or combined systems)

When this function is activated, there will be the option to select a course profile at the invitation stage, which will be used in the comparison of the candidate's results to a course profile, or a candidate can select a course at the beginning of the questionnaire, when they enter/confirm their details.

The general workflow in this new process would look like:

  1. The candidate accesses the Digital Profiler questionnaire, either via an invitation or direct link.
    1. If via Invitation: the RTO can select the course which the candidate has expressed interest in, or if unknown, a default option of “I'm not sure which course I'm interested in” is available.
    2. If via a direct link: the candidate can select from the drop-down list the course they are looking at, or if they are not sure yet, a default option of “I'm not sure which course I'm interested in” is available.
  2. Candidate completes the questionnaire, and results and reports are generated. The reports generated will depend on whether a course was selected or the default "I'm not sure..." option is chosen. See the related article Accessing Pre-Enrolment Reports for more details.

Note: for registered training organisations (RTOs) using the Digital Robot for Study system, this feature was designed to align with the pre-enrolment requirements of the new Standards for RTOs (2025).

Used with Job Profiles

Note: This function is relevant to Digital Robot for Work Systems (or combined systems)

When this function is activated, there will be the option to select a job profile at the invitation stage, which will be used in the comparison of the candidate's results to a course profile, or a candidate can select a job at the beginning of the questionnaire, when they enter/confirm their details.

The general workflow in this new process would look like:

  1. The candidate accesses the Digital Profiler questionnaire, either via an invitation or direct link.
    1. If via Invitation: the organisation can select the job profile applicable to the candidate or, if the applicable job profile is not known, a default option of “I'm not sure...” is available.
    2. If via a direct link: the candidate can select from the drop-down list the relevant job or, if they are not sure of the applicable job, a default option of “I'm not sure...” is available.
  2. Candidate completes the questionnaire, and results and reports are generated. The reports generated will depend on whether a job was selected or the default "I'm not sure..." option is chosen. See the related article Accessing Completion Reports for more details.
