Workflow Examples: How Course Ready and Digital Profiler Fit into Enrolment and Learner Support

Course Ready supports RTOs when the key question is:

Digital Profiler (within Digital Robot) supports RTOs when the key question is:
“What digital skills does this training product require, and where does the learner sit in relation to that?”
Digital Robot then uses the Digital Profiler results to compare the learner to the training product and recommend supports.
The workflows below show how these tools fit logically — but not prescriptively — into an enrolment process under the outcomes of the Standards for RTOs 2025.
Why Workflows Matter
Many RTOs understand what Course Ready and Digital Profiler do, but struggle with how to structure them within their existing processes.
These examples show practical, real-world ways RTOs can incorporate the questionnaires and Digital Robot features into their enrolment and learner-support workflows.
These are not prescribed or mandatory workflows — just clear examples of how RTOs might approach the outcomes described in the Standards.
Workflow 1 — Short Online Unit (Course Ready Only)
Course type
Short, low-complexity online unit.
(e.g., a single-unit or compliance micro-credential)
Purpose of workflow
Understand whether the learner can complete the online component.
Possible workflow
- Learner enquiry
- RTO provides course information
Learner completes Course Ready questionnaire
System sends report to learner (optional setting)
RTO reviews access/participation indicators
If the learner can access online delivery → enrolment proceeds
If access issues are identified → RTO discusses:
- device requirements
- internet options
- alternate delivery modes
- Enrolment decision documented
Why Digital Robot is not used
The digital expectations of the training product are minimal.
A digital literacy consideration is generally unnecessary.
Workflow 2 — Face-to-Face Course with Minor Online Components (Course Ready Only)
Course type
Classroom-based course requiring small online theory (e.g., HLTAID011 Provide First Aid)
Possible workflow

- RTO confirms the learner can complete required theory online

Why Digital Robot is not used
Digital literacy is not a significant component of the training product.
Workflow 3 — Full Qualification with Moderate Digital Requirements (Digital Profiler Only)

A qualification with ongoing digital interaction (e.g., CHC33021 Certificate III in Individual Support)
Possible workflow
- Learner enquiry
RTO provides training product information
Learner completes Digital Profiler questionnaire
System sends report to learner (optional setting)
Digital Robot provides the digital capability profile comparing it to the course profile.
RTO considers:
- whether the learner can meet the digital expectations of the course
- whether supports may assist
- RTO discusses results with the learner
- Enrolment decision is made and documented
- Supports are provided if appropriate (orientation, skills development, adjustments)
Why Course Ready is not required
Digital Profiler already provides strong insight into digital capability, which supports online and blended participation.
Course Ready may be used only if basic access/log-in concerns exist.
Workflow 4 — Qualification with Notable Digital Requirements (Digital Profiler → Digital Robot Comparison)
Course type
A qualification involving structured digital tasks (e.g., BSB30120 Certificate III in Business)
Possible workflow
- Learner enquiry
- RTO provides course information
- Learner completes Digital Profiler questionnaire
- System sends report to learner (optional setting)
- Digital Robot generates:
- the learner’s digital capability profile
- a comparison to the training product profile
- identified gaps
- suggested supports
- RTO and learner review the information together

Why Course Ready is optional
If online delivery is planned, Course Ready may be used to check access — but Digital Profiler already covers capability.

Why both tools may appear
Digital Profiler covers capability.
Course Ready is only relevant when access/log-in/device issues may prevent participation.
Important Clarifications
- Digital Profiler is just the assessment inside Digital Robot.
- Course-to-learner comparisons, gap identification and support recommendations are Digital Robot functions, not questionnaire functions.
- These workflows are examples only — the Standards do not mandate the order, tools, or methods used.
- RTOs may choose any valid approach that supports learner-centred enrolment and the outcomes described in the Standards for RTOs 2025.
